Make the role and reporting line clear

Describe the tasks, required skills, work location, expected schedule and duration for each role. Name the supervisor and the person a worker should contact when arrangements change. If a role depends on another team or supplier, include that handover in the plan.

Confirm availability and site timing with the responsible project contact. Share any prerequisites that need to be completed before the start date, such as identity checks or assignment-specific induction, using the organisation’s approved process.

Prepare a useful induction

Cover the information people need to start safely and understand their responsibilities. Explain the reporting route, attendance process, equipment or materials provided, and any site rules set by the project owner. Allow time for questions and confirm that instructions are understood.

Where several locations use the same process, keep the core induction consistent and include a short local briefing for site arrangements. Record completion according to the project’s requirements and give workers a contact for follow-up.

Review the first handover

Check that the worker reached the right site, has the agreed tools and knows the day-to-day supervisor. Resolve access, schedule or role questions early. Keep changes to the assignment visible to the people who coordinate attendance and delivery.

The main Sovereign Forge library includes practical articles on onboarding and workforce deployment. They can support a fuller staffing plan for the assignment.
